Privacy Policy

We collect as little personal data as we can, use it only to answer you and to deliver what you ask for, and never sell it.

Last updated DM BrainHub InfoTech Private Limited

This Privacy Policy explains how DM BrainHub InfoTech Private Limited, trading as "the brainhub | TECHNOLOGIES" ("we", "us", "our"), handles personal data when you visit thebrainhub.com (the "website") or contact us through it. It is written to meet the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 of India.

This policy covers this website only. Our products (such as Onyx Bills, Onyx Stock, OnyxPOS, Be Hotelier and MyExamBuddy) run on their own websites and have their own privacy terms. Client projects we build are governed by the agreement with that client.

Who we are

What we collect

We only collect what you choose to give us, plus the minimum technical data any website needs to work.

When you send an enquiry (contact form): your name, email address, phone number, the service or product you are interested in and your message.

When you apply for a job ("Join our team"): your name, email, phone, city, the role you are applying for, your experience, an optional portfolio or LinkedIn link, the few lines you write about yourself and the resume file you attach (PDF or Word).

When you call, email or WhatsApp us: your phone number or email address, your name if you share it, and the content of the conversation.

Usage data: Google Analytics records how the website is used, such as pages viewed, time on page, device and browser type, and approximate location derived from your IP address. We see this only as aggregated statistics.

Technical data: like every web server, our hosting provider records standard server logs (IP address, browser type, the page requested, date and time). These are used only for security and to keep the site running, and are deleted on the host's normal rotation.

We do not ask for, and ask you not to send, sensitive information such as passwords, bank or card details, or government ID numbers through the website.

How we use it

  • To reply to your enquiry, prepare a quote and discuss your project.
  • To deliver and support the services or products you sign up for.
  • To assess job applications and contact candidates about a role.
  • To keep the website secure and to stop spam or misuse.
  • To meet legal, tax and accounting obligations.

We do not sell, rent or trade personal data, we do not use it for advertising profiles, and we do not send marketing messages unless you have asked for them.

We process your data on the basis of your consent, which you give by submitting a form, emailing, calling or messaging us, and for the legitimate uses allowed by law, such as responding to a request you made or meeting a legal obligation. You can withdraw consent at any time (see Your rights); this does not affect processing already carried out.

Services that process data for us

The website is a static site. A few trusted providers handle data on our behalf so that its features work:

  • FormSubmit (formsubmit.co): delivers contact-form messages and job applications (including the attached resume) to our inbox. Form data passes through their servers to reach us.
  • Our email provider (Google Workspace / Business Email): stores the messages and applications we receive.
  • Our web hosting provider: serves the website and keeps the server logs described above.
  • WhatsApp (Meta): if you message us on WhatsApp, the conversation is handled under WhatsApp's own terms and privacy policy.
  • Google Analytics (Google): only if you agree, measures how visitors use the website (pages viewed, device, browser, approximate location from IP address) using cookies. We use the reports only in aggregate to improve the website, not to identify you or for advertising.
  • YouTube (Google): background videos on some sections are embedded in YouTube's privacy-enhanced mode (youtube-nocookie.com) and are muted and loop in the background.
  • Meta (Facebook): our WhatsApp API page uses Meta's WhatsApp Embedded Signup ("Login with Facebook"). When you use it, you log in and share your business, WhatsApp Business Account and phone number details with Meta and with us as your Tech Provider, under Meta's own terms and privacy policy. The Facebook SDK is loaded only on that page.
  • Google Maps: the map on our contact page is an embedded Google Map. Google may receive your IP address and set its own cookies when the map loads.

These providers may store data outside India. We use reputable providers and share only what is needed.

Cookies and similar technologies

With your consent (asked by a small card on your first visit, changeable any time with Cookie settings in the footer), we use Google Analytics cookies to measure visits and improve the website (see Services that process data for us). We use no advertising cookies; the only thing stored in your browser's local storage is your cookie choice. Third-party embeds (YouTube and Google Maps) may set their own cookies. See our Cookie Policy for details and how to opt out.

How long we keep it

  • Enquiries: for as long as needed to deal with your request and any project that follows, and normally no longer than 3 years after our last contact.
  • Job applications and resumes: up to 12 months, so we can consider you for future openings, unless you ask us to delete them sooner.
  • Client and billing records: for the period required by Indian tax and company law.

How we protect it

The website is served over HTTPS. Access to enquiries and applications is limited to the staff who need them, mailboxes are protected with strong passwords and two-step verification, and we review our providers regularly. No method of transmission or storage is completely secure, but we take reasonable care to protect your data.

Your rights

You can ask us to:

  • tell you what personal data we hold about you and how we use it;
  • correct or complete inaccurate data;
  • erase your data when it is no longer needed or when you withdraw consent;
  • nominate another person to exercise your rights in case of death or incapacity.

You can also raise a grievance with us. Write to contact@thebrainhub.com with the subject "Privacy request". We reply within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Children

The website is meant for businesses and job seekers aged 18 or over. We do not knowingly collect data from children. If you believe a child has sent us personal data, contact us and we will delete it.

Our pages link to client websites, our product websites, thebrainhub.in and social networks. We are not responsible for the privacy practices of those websites; please read their policies.

Changes to this policy

We may update this policy when the website or the law changes. The date at the top shows the latest version. Significant changes will be highlighted on this page.
